Policy purpose and scope

Start by explaining why the policy exists and which teams, locations, activities, or decisions it covers.

• Purpose statement: describe the organization's intent to manage environmental, social, and governance topics responsibly.
• Scope: list departments, sites, operations, suppliers, or activities covered by the policy.
• Responsibility: name the owner or team responsible for maintaining the policy.
• Boundary note: state that this is an internal policy outline and not a formal legal or compliance certification.

Environmental commitments

• Track energy, water, waste, fuel, travel, and material data where practical.
• Reduce avoidable resource use through maintenance, efficiency, reuse, and responsible purchasing.
• Review waste segregation, recycling routes, e-waste, hazardous waste caution, and packaging choices.
• Avoid public environmental claims unless source evidence, scope, and limitations are clear.

Social and workplace commitments

• Support safe, respectful, inclusive, and dignified working conditions.
• Record training, employee awareness, health and safety notes, and workplace concerns where relevant.
• Use fair communication and avoid guilt-based sustainability campaigns.
• Encourage employees to suggest practical improvements and record follow-up actions.

Governance, ethics, and supplier awareness

• Define basic expectations for ethical conduct, anti-corruption, responsible communication, and record keeping.
• Ask key suppliers about materials, packaging, labor practices, certifications, and source links.
• Document supplier responses as starting evidence, not automatic verification.
• Review ESG responsibilities during monthly or quarterly management meetings.

Data, evidence, and review rhythm

• Keep an evidence folder for bills, supplier replies, policies, training notes, photos, meeting notes, and claim evidence.
• Review policy progress monthly or quarterly.
• Record what changed, what evidence exists, what is missing, and which actions are next.
• Update the policy when operations, claims, suppliers, or responsibilities change.

Common mistakes

• Copying a large-company ESG policy without adapting it to actual operations.
• Publishing broad ESG claims before evidence and responsibilities are clear.
• Treating supplier statements as verified proof without checking scope or source links.
• Writing a policy once and never reviewing it.
